Shipping Coordinator


Job Details

The Shipping Coordinator plays a vital role in coordinating and facilitating the shipment of goods from the company's facilities to customers or distribution centers. This position involves managing shipping schedules, coordinating with carriers, preparing shipping documents, and ensuring timely and accurate delivery of products.

Shipment Coordination:

oCoordinate and schedule shipments of products according to customer orders, production schedules, and inventory levels.

oLiaise with carriers, freight forwarders, and logistics providers to arrange transportation and delivery of goods.

oTrack shipments in transit and communicate updates to internal stakeholders and customers as needed.

Documentation and Compliance:

oPrepare shipping documents, including bills of lading, shipping labels, customs paperwork, and export documentation.

oEnsure compliance with regulatory requirements, international trade regulations, and shipping laws for domestic and international shipments.

oVerify accuracy and completeness of shipping documentation and resolve any discrepancies or issues.

Inventory Management:

oMonitor inventory levels and stock availability to fulfill customer orders and shipping requirements.

oCoordinate with warehouse personnel to ensure timely picking, packing, and staging of products for shipment.

oConduct periodic inventory checks and reconcile discrepancies between physical inventory and system records.

Customer Service:

oServe as a point of contact for customers regarding shipping inquiries, order status updates, and delivery arrangements.

oAddress customer concerns or issues related to shipping delays, damages, or missing items, and provide timely resolutions.

oMaintain positive relationships with customers, carriers, and logistics partners to ensure high levels of satisfaction.

Cost Management:

oObtain shipping quotes and negotiate rates with carriers to optimize transportation costs while meeting service level requirements.

oMonitor shipping expenses, freight charges, and related costs to identify cost-saving opportunities and improve efficiency.

oReview invoices and billing statements for accuracy and reconcile discrepancies with carriers or vendors as needed.

Process Improvement:

oIdentify inefficiencies or bottlenecks in the shipping process and propose solutions for improvement.

oImplement best practices, standard operating procedures (SOPs), and quality control measures to streamline shipping operations and enhance productivity.

oCollaborate with cross-functional teams, including logistics, operations, and customer service, to implement process improvements and achieve organizational goals.

  • Education:

    • A high school diploma or equivalent is typically required.
    • Additional certification or training in logistics.

  • Experience: Prior experience in shipping, logistics, transportation, or a related field is often preferred. Candidates with experience in roles such as shipping clerk, logistics coordinator, freight coordinator, or warehouse associate may have relevant skills and knowledge applicable to a Shipping Coordinator position.
