Job Summary

Salary to be commensurate with qualifications

This is an in-person position and is not eligible for remote work. This position has an anticipated work schedule of Day or Night Shift; 8, 10 or 12 Hour Shifts covering a 24 hour operation, subject to change. Under FLSA guidelines, this position is non-exempt.

Performs data entry and retrieval, records maintenance, and other clerical duties in support of Sheriff's Office Communications Section operations. Processes warrants received from the courts. Responds to inquiries concerning active warrants from EPSO and outside agencies/entities. Cancels warrants out of the computer system. Processes served warrants ensuring return to courts. Processes daily in-custody felony preliminary paperwork for the district court.
Essential Duties/Responsibilities

  • Assembles and prepares copies of documents and/or audio recordings to distribute to deputies and other agencies.
  • Processes administrative phone calls.
  • Provides support through data entry/retrieval in Computer Aided Dispatch System (CAD), NCIC/CCIC, the records management system, and the jail management system.
  • Conducts searches for warrants, driving statuses, registrations, and criminal histories in CCIC/NCIC.
  • Conducts searches for addresses, telephone numbers, and other information in various databases and computer systems.
  • Enters, confirms, updates, and modifies data in NCIC/CCIC regarding warrants, missing people, stolen vehicles, stolen guns, and other records.
  • Processes felony and misdemeanor warrants received from the courts.
  • Completes files on served or canceled warrants. Cancels warrants from CCIC/NCIC and County systems.
  • Sends and receives teletype information regarding warrants to international and national law enforcement agencies via the CCIC/NCIC system.
  • Responds to inquiries from the courts, District Attorney's Office, Sheriff's Office, bondsmen, Local, State and Federal agencies, and the public regarding warrants.
  • Maintains, updates, and corrects applicable databases.
  • Maintains confidentiality for citizens, emergency responders, and other employees.
  • Demonstrates knowledge and adherence to established rules, policies, and procedures.
  • Completes job-related training and continuing education.
  • Provides on-the-job training and mentoring for new hires.
  • Provides courtroom testimony.
  • Provides excellent customer service to all citizens, emergency responders, and other employees.
  • Performs other duties as required.
Qualifications

Knowledge, Skills, and Abilities:
  • Ability to type 30 words per minute accurately while receiving information relayed over the telephone and/or radio.
  • Ability to use standard office equipment, including computers, copy machine, and scanners.
  • Ability to understand and utilize CAD, telephone, and several other computer systems while monitoring multiple computer screens.
  • Ability to read, write, speak, and understand the English language at a level adequate to perform the duties of the position.
  • Ability to effectively train staff and ensure that assignments are completed in a safe, proper, and timely manner.
  • Must possess strong analytical skills and a high level of attention to detail.
  • Must be honest, truthful, trustworthy, and possess a high degree of personal integrity.
  • Ability to communicate with law enforcement personnel and outside agencies in a professional and courteous manner during time of extreme stress and time constraints.
  • Ability to meet deadlines and maintain confidentiality.
  • Ability to prioritize and organize work.
  • Maintain regular and punctual attendance.
Required Education and Experience:
  • High school diploma or equivalent education.
  • One year of experience in an office environment performing data entry and clerical duties.
Licenses/Certificates:
  • Must possess and maintain a valid driver's license.
  • Must possess and maintain a valid CPR Certification within thirty days of starting the Dispatch General Training Academy.
  • Must obtain a National Center for Missing and Exploited Children (NCMEC) Certification within thirty days of starting the Dispatch General Training Academy.
  • Must possess and maintain NCIC/CCIC Certification within ninety days of employment.
  • Must obtain and maintain Criminal Justice Information System (CJIS) Compliance within six months of employment.
Pre-Employment Requirements:
  • Must pass conditional post offer background investigation, motor vehicle record check, drug screen, typing test for speed and accuracy, and truth verification examination.

Work Conditions

Duties are performed onsite, in a potentially high stress emergency dispatch environment. Position requires shift work to ensure coverage for operations 24-hours per day 7-days per week; will be required to work days, evenings and/or overnights depending on shift assignment. Will be expected to work weekends and holidays. Position is subject to on-call status, emergency call outs, and potential over-time. Prolonged periods of standing or sitting may be required.
