At Pace we transform girls lives through academic and counseling programs based on a gender responsive, strength-based and trauma informed framework. Team members create a safe place for girls to learn, process, heal and begin again. The Office Manager is responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency. The Office Manager is responsible for providing office management services to Pace Center for Girls, Inc.

Qualifications and Education Requirements

Required

  • Associates Degree
  • Minimum 3 years of experience in Office Administration.
  • In depth knowledge of office machines including copier, mail machines, fax, etc.
  • Proficient in the use of Microsoft Office components with detail knowledge of Excel and Word.
  • Advanced analytical and critical thinking skills; strong written, oral, and interpersonal communication skills with ability to work effectively with a wide range of management, staff, and external vendors; strong computer and internet research skills.
Preferred
  • Degree in Administration
Roles and Responsibilities
  • Maintain Office Efficiency
  • Manages the reception area to receive guest and visitors, ensure effective telephone and mail communications both internally and externally and to maintain a professional image.
  • Organize and maintains all aspects of the office common area including furniture and equipment as well as housekeeping of the facility.
  • Coordinate the purchase of office supplies, office equipment for staff in accordance with Pace purchasing policies.
  • Manages maintenance of office equipment including but not limited to the copier, mail machine, etc.
  • Provide data entry for procurement officer and program services as needed.
Maintain Office Records
  • Assist with defining procedures for record retention.
  • Coordinate and maintain record storage.
  • Ensure protection and security of all on-site files, records, and storage devices.
  • Ensure effective transfer of all files and records to off-site storage according to Pace record retention policy.
  • Transfer and dispose records according to retention schedules and policies
Compliance Operation
  • Assist with documentation and tracking.
  • Assist with invoicing tracking.
  • Assist with contract database.
Other
  • Must adhere to the Pace Center for Girls Values and Guiding Principles and upholds the ethical standards of the Agency
  • Follows mission, values and principles, policies and procedures of the Pace Center for Girls
  • Availability to work evenings and weekends as required to fulfill workload requirements
  • Must be able to travel by automobile, plane, train, etc.; occasional overnight travel may be required
