Position Description Summary/Purpose:

This position provides project and administrative support to an assigned area(s) in a fast-paced, dynamic environment.

Essential Job Functions/Primary Responsibilities:

Principal Responsibilities:

  • Manages and coordinates administrative projects, such as arranging special events.
  • Manages and maintains executives calendars, organize meetings with internal and external stakeholders, handle logistics and makes travel arrangements.
  • Prepares and edits correspondence, communications, presentations and other documents.
  • Monitors, responds to and distributes incoming communications including incoming calls and emails as needed.
  • Receives and interacts with incoming visitors in a professional, welcoming manner and also assists as host in support of events/meetings held on campus on behalf of Vice Presidents.
  • Manages departmental budgets, handles billing and processes payment requests with Finance.
  • Distributes agendas for meetings organized by Vice Presidents and take minutes at such meetings.
  • Conducts all work in a safe manner and all work safety practices are followed.

Other Functions
  • Performs similar or related work as required, directed or as situation dictates.
  • Continues professional development and training; keeps current with trends.
  • Assists other department staff as needed to promote a team effort.

Qualifications

Education, Training and Experience:
  • Bachelors degree with at least three years of relevant professional experience including one year supporting an executive.

Special Requirements:
  • Valid driver's license & insured vehicle
