Purchasing Specialist


Job Details

The Purchasing Specialist is responsible for managing multiple functional areas within procurement operations for the Defense division. The Purchasing Specialist assists in managing cross functional requirements, working closely with sales, contracts, and supply chain team members to support daily procurement responsibilities. This position requires attention to detail, analytical skills, and the ability to collaborate successfully across teams, customer, and supplier accounts. This is a full-time position located at Darley headquarters in Itasca, IL. Remote work options are available following an 8-week introductory period.

Darley Defense, a division of the W.S. Darley company, specializes in using existing contracts to distribute products and services to the Federal Government. Darley Defense specializes in special operational equipment and fire and emergency services.

Requirements

  1. Manage internal Defense Purchasing inbox for incoming communications from supplier and customer accounts, actioning and delegating communications as required.
  2. Manage purchase order revisions which may be required from supplier accounts throughout the order cycle, updating key data fields and managing supplier communications.
  3. Manage receipt and review of purchase order acknowledgements, ensuring accuracy of supplier acknowledgements to match Darley purchase orders and addressing any discrepancies promptly with suppliers.
  4. Update JD Edwards ERP system with order status updates or other supplier communications, capturing and updating order status codes, order notes or any order changes required.
  5. Manage procurement team inquiries from contracting agencies and customer accounts requesting order support, working with multiple teams to respond appropriately or resolve any disputes.
  6. Assist with open order coverage, contacting suppliers for order status updates, updating JD Edwards order status codes, and relaying relevant updates across teams.
  7. Assist with supplier invoice discrepancies, working with supplier accounts and accounting team to review discrepancies, determine reason(s) for discrepancies and resolve for order match and invoice processing for payment.
  8. Manage part number entry process, working with cross-trained procurement team members to cover high volume requests.
  9. Support Objectives and Key Results initiatives by monitoring and measuring current key performance indicators, identifying areas for improvement and/or implementing new KPIs to drive continual improvement opportunities.

Supervisory Responsibility

This position currently has no supervisory responsibility but may incorporate direct reports in the future, as

required.

Work Environment

This job operates in a professional office environment. This role routinely uses company standard office

equipment such as computer and cell phones.

Physical Demands

While performing the duties of this job, the employee is regularly required to talk or hear. The employee

frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 4:30 p.m or as

otherwise required, including nights and weekends.

Travel

This position does not currently require travel.

Essential Qualifications

Education

Bachelor's Degree in a technical or business discipline or equivalent experience preferred.

Experience
  • Experience in a similar role or with similar responsibilities at an outside organization.
  • Background in procurement, supply chain or operations role(s) a plus.
  • Experience with MS Office suite of products.
