Job Summary:

The Deputy Court Clerk is under the direction and supervision of the District Court Clerk. This position assists in all duties of the court clerk and acts as the initial point of contact for the tribal court. The Deputy Court Clerk receives cases for filing in the district court, maintains case files, prepares court records and documents, and provides respectful and responsive support to the district court. This position works closely with the district judges, attorney general's office, and Cherokee Nation Child Welfare department in the coordination and timely scheduling of hearings.

Job Duties:

The Court Clerk's office receives all filings in the district court. The Deputy Court Clerk ensures the documents are appropriately file stamped and are handled in a secure and organized manner. This position collects the required filing fees, ensuring the proper posting and handling of monies received. The Deputy Court Clerk assists in the preparation of the judges' dockets and the case files for hearings. The Deputy Court Clerk, at the Court Clerk's direction, will assist with all duties of the court clerk including but not limited to the following areas: attend each court hearing and ensure the proper posting and handling of monies received. The Deputy at the Court Clerk's direction will assist with all duties of the court clerk including but not limited to the following areas:

Receives filings in the district court and ensures the documents are appropriately file stamped and are handled in a secure and organized manner. Collects required filing fees and ensure the proper posting and handling of monies received. Attends court hearings and ensures the accurate documentation of court minutes and proper recording of the court hearing and places in the case files after each court docket. Coordinates the jury docket process by effecting a jury pool request from tribal registration and assists in the selection and jury panel activities. Maintains current court forms and develops new forms as needed and provides tribal citizens with access to various court forms. Maintains the case management system and ensures all filed documents are properly scanned into the system. Maintains a high level of customer service while responding to questions and/or comments in a courteous and timely manner and maintains strict confidentiality of any and all court records and court customer information. Keep judges informed about case status, hearings, calendar events, and upcoming issues. Other duties as assigned.

Qualifications:

EDUCATION

High school diploma or general education degree (GED).

EXPERIENCE

At least two (2) years of experience in a related field.

COMPUTER SKILLS

An individual should have knowledge of Order processing systems, Payroll systems, and Word Processing software.

CERTIFICATES, LICENSES, REGISTRATIONS

A valid driver's license, with a driving history, verified through a motor vehicle report that meets requirements for Cherokee Nation underwriting rating. The Deputy Court Clerk may be required to attend meetings and/or training away from work location which would require them to drive to the destination.

OTHER QUALIFICATIONS

Employee must not and will not be under sanction by the United States Department of Health and Human Services Office of the Inspector General (OIG) or by the General Services Administration (GSA) or listed on the OIGs Cumulative Sanction Report, or the GSAs List of Excluded Providers, or listed on the OIGs List of Excluded Individuals/Entities (LEIE). The Deputy Court Clerk must have the ability to maintain strict confidentiality and the ability and professionalism to logically deal with a range of diverse personalities.

PHYSICAL DEMANDS

While performing the duties of this, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is frequently required to stand; walk; and sit and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision and ability to adjust focus.

WORK ENVIRONMENT

The noise level in the work environment is usually moderate.
