Summary

Murphy Offices, LLC in El Dorado, Arkansas, is seeking an experienced Executive Assistant to provide comprehensive administrative support to the Principals and office staff. The ideal candidate is proficient in communication, anticipation, organization, coordination, and simplification. They should possess high reliability, adaptability, resourcefulness, and discretion.


Responsibilities

Schedule appointments, make reservations, and complete miscellaneous tasks.

Work with household staff to address ongoing needs at the primary and additional properties to ensure they are properly maintained and in good working order.

Manage and organize calendars, including scheduling meetings, conference calls, events, and appointments.

Support the Principals and external property management firms in overseeing commercial and residential rental properties.

Oversee travel planning, including scheduling flights, arranging ground transportation, booking accommodations, making other reservations, and creating detailed travel itineraries.

Draft and proofread emails, letters, memos, reports, and other documents. Maintain confidentiality and professionalism in all communications.

Prepare meetings construct agendas, aggregate materials, coordinate attendee schedules, communicate the date/time of the meeting, and coordinate deliverables.

Maintain an organized filing system. Ensure accessibility, accuracy, completeness, and confidentiality across all documentation.

Support the Principals with various projects requiring additional oversight levels.

Assist the office staff with certain financial activities, such as receipt tracking, expense reporting, and invoice processing. Perform bookkeeping duties such as accounts payable, accounts receivable, and payroll. Work with office staff to obtain and/or produce certain financial information and reports. Support various financial projects, including tracking deadlines and deliverables.

Qualifications

Experience as an Executive Assistant, preferably within a family office, asset management firm, private equity firm, or similar environment.

Exceptional organizational and time management skills, with the ability to prioritize effectively.

Flexibility and adaptability to work in a fast-paced, demanding environment.

Resourcefulness and critical thinking skills to address diverse requests.

The ability to anticipate the needs of the family office executives and proactively address those items.

Internally motivated, willing to take on new responsibilities and work independently.

Advanced project management experience a proven record of successfully executing multiple ongoing projects.

Excellent verbal and written communication skills, a keen eye for detail and accuracy.

Exceptional people skills and building and maintaining trusting relationships with stakeholders.

Demonstrated ability to manage confidential and sensitive information with discretion.

Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and QuickBooks, and familiar with (or willing to learn) other office management tools/software.

Bachelor's degree highly preferred
