Job Summary:

The Program Manager is responsible for the planning and delivery of all aspects of the Executive Education programs conducted by the Kellogg School of Management, which are designed to provide a highly concentrated learning experience for senior executives. The Program Manager oversees a diverse portfolio of open enrollment, custom and international programs. They act as the key Executive Education point of contact for executive participants, clients and faculty and represents the department on key projects and committees throughout Kellogg and the Allen Center.

Note** Flexible to work long hours and weekends while programs are in session.

Specific Responsibilities :

  • Act as the main Executive Education point of contact to executives, clients, and faculty. Develop and manage all communication with participants and clients including program logistics, payment processes, prep work, and post program communication. Partner with Associate Director to customize course website, incorporating networking into program aspects as appropriate.
  • Strengthen partnerships with external resources by defining, promoting, and marketing benefits of participation and involvement to the organization
  • Partner with Academic Director and faculty to manage the delivery of outstanding Executive Education to clients. Responsibilities include overseeing the program admissions process; managing the collection of academic materials utilized in each program from faculty (e.g. cases, books, articles and simulations); preparing materials for distribution among participants and stakeholders; managing the process of securing copyright permissions; managing faculty classroom needs.
  • Track budget and expenditures associated with programs (utilizing Excel) and balance for each program. Negotiate contracts, maintain financial records, verify invoices and expense reports for accuracy and prepare final accounting report at close of program.
  • Coordinate meals, lodging, technical requirements and special events with Allen Center departments, University and external partners.
  • Create and nurture relationships with companies to develop a network of enthusiastic organizations engaged via active participation in the success of programs. Partner with the Marketing and Finance departments to monitor registrations, work in conjunction with executives to convert interested registrants to paid participants.
  • Contribute to process and business improvement projects. Represent Executive Education on key projects and committees throughout the school and Allen Center.
  • Continually work to refine our CRM system in conjunction with Tech Support and Marketing Communications.
  • Train and integrate new team members to foster a strong, cohesive team.

Minimum Qualifications:
  • Bachelor's degree or equivalent combination of education, training and experience from which comparable skills can be acquired.
  • 5 -10 years related experience.
  • Proven ability to organize and coordinate multiple events, projects, and deadlines simultaneously.
  • Strong customer service orientation.

  • Exceptional communication skills with attention to detail and flexibility.
  • Ability to take ownership of process and develop new initiatives.
  • Excellent computer skills, specifically with Microsoft Office Suite.
  • Ability to work independently to identify, analyze, and solve problems with minimum supervision.
  • Excellent knowledge of business functions (marketing, finance, accounting, operations).
  • Ability to professionally interact with faculty, clients, and executives at all levels internally and externally.
  • Must be flexible and able to manage stressful situations with a proven record of effectively dealing with conflicts and ability to prevent or reduce them.
  • Ability to work collaboratively as part of a team and to provide indirect supervision to others; ability to work productively with minimal supervision.
  • Ability to display attention to detail; support organization policies; anticipate client needs and respond accordingly.
Preferred Qualifications:
  • Master's degree in a relevant discipline.
  • 3-4 years' experience in event planning, conference coordination, management of educational programs or relevant experience in a high-profile role working with senior level clients.

Target hiring range for this position will be between $68,000 - $74,000 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
